Receptionist

Job Description:

Location: Huntington Park, CA 

FLSA status: Non-exempt, full time 36.25 hours M-F 9:00 am– 5:00 pm / some weekends

Pay Range: $37,700.00 - $49,010.00

Reports to: Director of Compliance and Technology

Essential Functions: Please note that this is only a brief, general outline of the position, and is not intended as a complete job description. Other tasks and duties may be assigned. Work activities may include any or all of the following:

  • Answers incoming phone lines, screens, and routes calls to appropriate person
  • Supports the COS department with daily data entry of COS, review, filing and record keeping
  • Provides information to callers about our agency and services
  • Provides a welcoming environment for all visitors
  • Provides support when needed to the Executive Director and Deputy Director of Operations (writing email correspondence, letters, daily/weekly/monthly schedules, telephone triage and message taking)
  • Plan, confirm, set up room for meetings and take detailed minutes
  • Acts as a liaison between executive management and the board of directors
  • Maintains calendars for meeting rooms/training rooms
  • Maintains the appearance of the front office including the kitchens
  • Monitor, maintain and order office supplies for all programs
  • Sort and route all incoming mail daily, prepare and take outgoing mail including special packages
  • Prepares brochures and all agency marketing materials
  • Prepares training materials
  • Assists supervisor with managing filing system(s), billing records, correspondence, business documents and other records pertaining to general office management and functioning
  • Maintains staff contact list and distribute to staff on a regular basis
  • Works cooperatively with all departments to ensure a smooth and seamless deliver of comprehensive administrative services to PRPSN staff, members and visitors
  • Works collaboratively with all departments within PRPSN and provides assistance where/when needed
  • Works cooperatively with other staff to assure all elements for a successful program available as needed (office supplies, paperwork, room setup, equipment, inventory of stockroom etc.)
  • Troubleshoot and provide assistance with office equipment
  • Provide typing, data entry, filing, scanning, faxing etc. in support of maintaining office functions
  • Must have a desire to work with individuals impaired by extreme distress / mental illness and believe in an individual’s ability to recover from disabling mental distress.   
  • Must verbalize an initial and ongoing understanding of environmental variables that may present while performing administrative tasks and/or providing direct services as an PRPSN employee (i.e. individuals presenting at the agency in extreme emotional states).
  • Must exhibit good personal judgment, a non-bias attitude, sensitivity, and discretion when dealing with other individuals. Must demonstrate the skills and ability to “work and play well with others” interacting with co-workers, program participants, family members and community partners effectively and responding appropriately when experiencing interpersonal conflict with others.
  • Models PRPSN approach, mission and core values in all communication and correspondence.
  • Any other duties as assigned.

Skills:

MINIMUM QUALIFICATIONS: The following are minimum qualifications, which an individual needs in order to successfully perform the duties and responsibilities of this position. Please note that the minimum qualifications may vary based upon the department size and/or geographic location.

SKILLS/ABILITIES:

  • This position requires that the Receptionist self-identified as a person with lived (or family) experience with mental illness and the mental health system.
  • Working knowledge of office equipment
  • Proficiency in MS Office (MS Excel, Word, PowerPoint, Adobe etc.)
  • A minimum accurate typing speed of 45 WPM.
  • Accurate keyboard skills and proven ability to enter data at the required speed
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Class C driver’s license, daily access to a car and proof of auto liability insurance of a 30,000/60,000 policy upon the first day of employment, maintain required coverage amounts and provide ongoing documentation of continuous coverage.
  • Ability to multi-task and communicate progress on related duties
